Add Users
Users are the people (Project Managers, Employees, etc.) related to your Organization who you as
the Tracklet Administrator assign a Userid and Password to enter Tracklet to submit new
or track existing Issues and update Workflow Stages currently assigned to them. Users with
Administrative privilages are authorized to manage Issues and make changes to any Tracklet features.
You incorporate Users into your Tracklet account through the Users Page.
| |
Add Groups
Group is a collection of Users who joined together based on some criteria
(e.g. Software Developers, Sales Team, etc.).
A User can belong to multiple Groups. When adding a
new Group, you add also one or more Users to the it from the Users List.
You can create an infinite number of Groups within your Tracklet account.
Tracklet distinguishes a special Group called Public Users (anonymous Users from the World Wide Web)
who can submit and track Tracklet Issues without having to log on first with a User Id and Password.

Design Questionnaire
Once you've imported your Users into Tracklet and created your specific Groups, you will then
neeed to design the Questionnaire Form which will be presented to your Users when reporting new
or viewing existing Issues.
Since you can assign a Group to each Field on your Questionnaire Form, you can control what Issue
information different Users can see about an Issue. In other words, you can prompt a entirely
different set of questions to the Software Developers Group than to the Marketing Group when
reporting new Issues.

Add Workflow Templates
Tracket's industry leading Workflow Designer can model any complex business
logic thanks to its state-of-the-art Open Workflow Architecture which is a Fully Automated,
Multi-threaded, Event-based, Conditional and Recursive processflow with Custom Decision-tree,
Automatic Work-load Balancing and on-the-fly Reconfiguration capabilities.
A Workflow consists of Stages which are the steps in the work process assigned to the Issue.
Tracklet allows unlimited number of Workflow Stages added to each Workflow.

|
|
Add Auto-Delegation Rules
When a new Issue is reported, Tracklet can automatically assign it a Default Workflow based on the Field
Values the submitter entered on the Questionnaire Form. This is done by creating Issue Esclation Rules on
the Issue Escalation Page. The Issue Escalation allows you to seamlessly and automatically escalate
Issues to the right group of technicians without any user interaction.
| |
Submit A New Issue
Issue are submitted through the Issue Submission Page where
the Issue Questionnaire Form is prompted to the User with Questions
the User submitting the Issue is authorized to see since only Questions assigned to Group(s) the
User submitting the Issue belongs to will be displayed to the User.
When the Users submits the Issue, the Tracklet automatically assigns it a unique Issue Tracking ID.
|
| |
|
|
Assign Workflow to New Issue
When the Issues is reported,
Tracklet runs a quick check to see if any of the Issue Escalation Rules are met, and if it finds one, it assigns
the Default Workflow specified in the Escalation Rule to the new Issue. If no Issue Escalation Rules are found,
then the Tracklet Administrator will have to create a Workflow for this new Issue before it can be Started.
The Workflow can be created manually from scratch or can be loaded from the Default Workflows list for
the new Issue with a click of a button.
| |
Start New Issue
If an Issue Escalation Rule was trigger, then the new Issue will be started automatically.
With no Escalation Rule triggered, the Issue will need to be started manually by the Tracklet Administrator.
Before starting the new Issue manually, any Fields assigned to the Administrators Group may need to be filled out
by a Tracklet Administrator. Once filled out, the Issue can be started. When the new Issue is started, its status
becomes Open and email notification will be sent out to the current Stage Owners and to all Users subscribed for this
Issue notifications.

Update Workflow Stages
You can apply different security
The Tracklet Workflow consists of one or more Workflow Stages. Each Workflow Stage is assigned to an individual
User or a Group. When the Workflow Stage becomes active, the Stage Owner(s) can update the Issue Workflow
Stage assigned to them. When a Workflow Stage is updated, Tracklet runs a quick check on all Workflow Stage
conditions for the Issue to see which Workflow Stages need to be activated or deactivated. Tracklet may active
or deactivate one or more Workflow Stages based on the Start and Re-start Conditions you specified for the Issue’s
Workflow Stages. If Tracklet finds a Workflow Stage to activate, it will send out email notification to its
Stage Owner(s).
| |
View Issue Progress
Only Administrators and Workflow Stage Owners can view information about the Issue, however only
Administrators can view Cost and Time related information and all Workflow Stages about the Issue.
All Workflow Stages messages are logged for the Issue which is also visible to all Stage Owners,
along with the uploaded files. When viewing an Issue, you can see what Stages have been updated,
how much time and cost each Workflow Stage took. You can also see the overall time and cost efficiency
for the Issue.
|
| |
|
Manage Issues
At any given time, Tracklet Administrators are allowed to modify any Issue settings. They can add,
delete and update the current Issue Workflow or even re-load it entirely. They can change current
Workflow Stage conditions, assign them to new User or Groups, modify Email Subscribers, etc. All
modification to the Issue Workflow are logged into the Issue Messages. You can modify Issue
Information the submitter entered for the Issue when it was reported. You can Re-open and close
the Issue as well at any time.
| |
Track Issues
As a Tracklet Administrator, you can track all Issues to see what the new Issues are, who is working on
what Workflow Stages, which Issues are closed, which Workflow Stages have been updated, etc. You
can also specify a date-range and search for Individual Users or Groups. You can also list out the
Issue Fields along with the Track Id’s.

Set Preferences
Since some project duration is measured in minutes, some in Years and you may want to calculate
Issue costs in currency other than USD, you have the option to specify the default Time and Currency
Units that all newly reported Issues will default to. These units can also be adjusted for each Issue.
You also have the option to allow Public Users to view the progress of the Issues they reported.
